A reservation is confirmed upon receipt of your email or letter, including a deposit of 25% of the total tour price.<\/p><h3>Deposit and Payments<\/h3><ul><li>A deposit of 25% of the total price is required within 10 days of making the reservation.<\/li><li>The full balance, including the cost of bike rental and any additional individual costs, must be paid no later than 6 weeks prior to the tour departure.<\/li><li>For bookings made less than 6 weeks before departure, the total amount must be paid within 5 days of your booking request.<\/li><li>Participants who have not paid the full amount in advance will not be allowed to join the tour.<\/li><\/ul><h3>Transferring a Travel Date<\/h3><p>Participants may request to transfer their tour date to a later time. Requests must be sent via email or postal mail to Thailand Cycle Tours. We reserve the right to approve or deny date change requests. If changes are possible, the following fees apply:<\/p><ul><li>59-30 days before departure: \u20ac250 per person<\/li><li>Less than 29 days before departure: \u20ac400 per person<\/li><\/ul><h3>Minimum and Maximum Group Size<\/h3><ul><li>A minimum of 4 participants is required for a group tour or private tour to proceed. If fewer than 4 people book, Thailand Cycle Tours reserves the right to cancel the tour, providing 15 days&#8217; notice before departure.<\/li><li>For some tours, a minimum of 2 participants is required for the tour to proceed.<\/li><li>The maximum group size for tours in Thailand is 17 people. If more than 17 people join, the tour will be split into 2 separate teams.<\/li><li>The maximum group size for our cross-border tours to Laos, Vietnam, Malaysia, and Cambodia is 25 people. If more than 17 participants join, the tour will be divided into 2 cycling groups with at least one Thai guide, a minimum of 2 team leaders, and an additional local guide in Laos, Vietnam, Malaysia, or Cambodia.<\/li><\/ul><h3>Legal Age to Participate<\/h3><ul><li>For long tours, the minimum age is 18. However, children aged 14 and above may participate if accompanied by an adult.<\/li><li>For one-day tours, the minimum age is 14, and participants must be accompanied by an adult.<\/li><li>Children are welcome on our private family tours, provided they are accompanied by an adult. Please contact us to inquire about which tours are available for children under the age of 14.<\/li><\/ul><h3>Discounts on Scheduled Tours<\/h3><ul><li><strong>Early Bird Discount:<\/strong>\u00a0Book early and benefit from a 3% discount on the standard tour price (excluding any supplements). To qualify, you must register at least six months before the start of the tour to receive this discount.<\/li><li><strong>Loyalty Discount:<\/strong>\u00a0Many of our clients return year after year to enjoy a Thailand Cycle Tours holiday. To reward this loyalty, we offer special discounts on the scheduled tour price (excluding single supplements and bike rental) for our repeat customers:\u00a0<ul><li>Fourth tour or more: 5% discount<\/li><li>Eighth tour or more: 10% discount<\/li><\/ul><\/li><li><strong>Group Discount:<\/strong>\u00a0Special reduced rates are available for groups of four or more traveling together. Please contact us directly to negotiate group rates.<\/li><\/ul><h3>Cancellation Policy<\/h3><p>If Thailand Cycle Tours cancels the tour for reasons within our control, the deposit or full payment will be refunded, or participants may opt to reschedule for a later date.<\/p><p>For customer cancellations, the following fees apply based on the number of days before the tour start date:<\/p><ul><li>More than 90 days: Administrative fees (including bank charges and exchange rate losses)<\/li><li>60-89 days: Forfeit of the deposit<\/li><li>30-59 days: 40% of the total tour price<\/li><li>15-29 days: 70% of the total tour price<\/li><li>0-14 days: 95% of the total tour price<\/li><\/ul><p>No refunds will be issued for early termination or abandonment of the tour. Individual supplements are non-refundable and may incur cancellation fees. Thailand Cycle Tours is not responsible for costs resulting from a cancellation, such as airline tickets or incidental expenses.<\/p><h3><strong>Tibet Tour \u2013 Special Deposit, Pricing &amp; Cancellation Policy<\/strong><\/h3><p><strong>Pricing, Deposit &amp; Payment Terms<\/strong><\/p><ul><li>A\u00a0<strong>non-refundable deposit of 50%<\/strong>\u00a0of the total tour price is required to confirm your booking. This amount guarantees your tour price unless a clear and obvious pricing error has occurred.<\/li><li>The\u00a0<strong>deposit must be paid within 10 days<\/strong>\u00a0of receiving our booking confirmation. If the deposit is not received within this period, the reservation will be automatically cancelled.<\/li><li>The\u00a0<strong>remaining 50% balance<\/strong>\u00a0must be paid\u00a0<strong>no later than 6 weeks<\/strong>\u00a0prior to the tour departure date.<\/li><li>Failure to make full payment on time will result in the cancellation of your booking and forfeiture of your deposit.<\/li><\/ul><p><strong>Cancellation Policy<\/strong><\/p><p>If you need to cancel your Tibet Tour, please notify us in writing by sending an email to\u00a0<strong>info@thailandcycletours.com<\/strong>, including:<\/p><ul><li>Your full name<\/li><li>Trip name<\/li><li>Departure date<\/li><li>Contact details<\/li><\/ul><p>Once we receive your cancellation request, we will confirm via email. Your cancellation becomes effective on the date our confirmation is sent.<\/p><p>The following cancellation fees apply:<\/p><ul><li><strong>More than 30 days before departure<\/strong>: 50% of total tour price (your deposit)<\/li><li><strong>Between 30 and 8 days before departure<\/strong>: 60% of the total tour price<\/li><li><strong>7 to 0 days before departure<\/strong>: 100% of the total tour price<\/li><\/ul><h3>Complaints<\/h3><p>If you have a complaint during the tour, notify the group leader immediately to allow us the opportunity to resolve the issue. Complaints submitted after the tour must be sent by email or postal mail within 30 days of the tour&#8217;s end. Complaints filed after this period will not be considered.<\/p><h3>Travel Documents<\/h3><p>Participants are responsible for ensuring they have valid passports, visas, and any required medical certificates. Thailand Cycle Tours is not responsible for any consequences resulting from a failure to obtain these documents.<\/p><h3>Travel Insurance<\/h3><p>Participants must have comprehensive travel insurance that covers personal accidents, medical expenses, repatriation, and evacuation. Proof of this insurance is required before the tour begins. Thailand Cycle Tours cannot be held responsible for any medical expenses or costs arising from accidents or evacuation during the tour. If participants fail to provide proof of adequate insurance, they will not be allowed to participate in the tour.<\/p><h3>Additional Charges<\/h3><p>Thailand Cycle Tours guarantees not to increase tour prices, except in exceptional circumstances. Exceptional circumstances may include government or legislative action that forces Thailand Cycle Tours to raise prices or significant changes in the exchange rate that result in a fluctuation or devaluation of currency exceeding 10%.<\/p><p>In such cases, customers will be notified of any tariff change at least 4 weeks before departure.<\/p><h3>Reservations, Restrictions, and Limited Liability<\/h3><p>To ensure the highest quality of the tour, as well as the comfort and well-being of clients, Thailand Cycle Tours may find it necessary to reroute or make changes to originally scheduled accommodations. In such instances, no discounts or reimbursements will be given to customers.<\/p><p>By participating, customers agree to allow Thailand Cycle Tours to take pictures or videos of the tours for promotional and commercial purposes.<\/p><p>Thailand Cycle Tours will provide competent authority during the course of the tour. Customers will be accompanied by a group leader representing Thailand Cycle Tours.
