Terms and Conditions (update: 23.09.2024)

Booking Conditions

All reservations must be submitted to Thailand Cycle Tours via email or postal mail. A reservation is confirmed upon receipt of your email or letter, including a deposit of 25% of the total tour price.

Deposit and Payments

• A deposit of 25% of the total price is required within 10 days of making the reservation.
• The full balance, including the cost of bike rental and any additional individual costs, must be paid no later than 6 weeks prior to the tour departure.
• For bookings made less than 6 weeks before departure, the total amount must be paid within 5 days of your booking request.
• Participants who have not paid the full amount in advance will not be allowed to join the tour.

Transferring a Travel Date

Participants may request to transfer their tour date to a later time. Requests must be sent via email or postal mail to Thailand Cycle Tours. We reserve the right to approve or deny date change requests. If changes are possible, the following fees apply:

• 59-30 days before departure: €250 per person
• Less than 29 days before departure: €400 per person

Minimum and Maximum Group Size

• A minimum of 4 participants is required for a group tour or private tour to proceed. If fewer than 4 people book, Thailand Cycle Tours reserves the right to cancel the tour, providing 15 days' notice before departure.
• For some tours, a minimum of 2 participants is required for the tour to proceed.
• The maximum group size for tours in Thailand is 17 people. If more than 17 people join, the tour will be split into 2 separate teams.
• The maximum group size for our cross-border tours to Laos, Vietnam, Malaysia, and Cambodia is 25 people. If more than 17 participants join, the tour will be divided into 2 cycling groups with at least one Thai guide, a minimum of 2 team leaders, and an additional local guide in Laos, Vietnam, Malaysia, or Cambodia.

Legal Age to Participate

• For long tours, the minimum age is 18. However, children aged 14 and above may participate if accompanied by an adult.
• For one-day tours, the minimum age is 14, and participants must be accompanied by an adult.
• Children are welcome on our private family tours, provided they are accompanied by an adult. Please contact us to inquire about which tours are available for children under the age of 14.

Discounts on Scheduled Tours

• Early Bird Discount: Book early and benefit from a 3% discount on the standard tour price (excluding any supplements). To qualify, you must register at least six months before the start of the tour to receive this discount.
• Loyalty Discount: Many of our clients return year after year to enjoy a Thailand Cycle Tours holiday. To reward this loyalty, we offer special discounts on the scheduled tour price (excluding single supplements and bike rental) for our repeat customers:
  • Fourth tour or more: 5% discount
  • Eighth tour or more: 10% discount
• Group Discount: Special reduced rates are available for groups of four or more traveling together. Please contact us directly to negotiate group rates.

Cancellation Policy

If Thailand Cycle Tours cancels the tour for reasons within our control, the deposit or full payment will be refunded, or participants may opt to reschedule for a later date.

For customer cancellations, the following fees apply based on the number of days before the tour start date:

• More than 90 days: Administrative fees (including bank charges and exchange rate losses)
• 60-89 days: Forfeit of the deposit
• 30-59 days: 40% of the total tour price
• 15-29 days: 70% of the total tour price
• 0-14 days: 95% of the total tour price

No refunds will be issued for early termination or abandonment of the tour. Individual supplements are non-refundable and may incur cancellation fees. Thailand Cycle Tours is not responsible for costs resulting from a cancellation, such as airline tickets or incidental expenses.

Complaints

If you have a complaint during the tour, notify the group leader immediately to allow us the opportunity to resolve the issue. Complaints submitted after the tour must be sent by email or postal mail within 30 days of the tour's end. Complaints filed after this period will not be considered.

Travel Documents

Participants are responsible for ensuring they have valid passports, visas, and any required medical certificates. Thailand Cycle Tours is not responsible for any consequences resulting from a failure to obtain these documents.

Travel Insurance

Participants must have comprehensive travel insurance that covers personal accidents, medical expenses, repatriation, and evacuation. Proof of this insurance is required before the tour begins. Thailand Cycle Tours cannot be held responsible for any medical expenses or costs arising from accidents or evacuation during the tour. If participants fail to provide proof of adequate insurance, they will not be allowed to participate in the tour.

Additional Charges

Thailand Cycle Tours guarantees not to increase tour prices, except in exceptional circumstances. Exceptional circumstances may include government or legislative action that forces Thailand Cycle Tours to raise prices or significant changes in the exchange rate that result in a fluctuation or devaluation of currency exceeding 10%.

In such cases, customers will be notified of any tariff change at least 4 weeks before departure.

Reservations, Restrictions, and Limited Liability

To ensure the highest quality of the tour, as well as the comfort and well-being of clients, Thailand Cycle Tours may find it necessary to reroute or make changes to originally scheduled accommodations. In such instances, no discounts or reimbursements will be given to customers.

By participating, customers agree to allow Thailand Cycle Tours to take pictures or videos of the tours for promotional and commercial purposes.

Thailand Cycle Tours will provide competent authority during the course of the tour. Customers will be accompanied by a group leader representing Thailand Cycle Tours. By joining the tour, participants agree to respect the authority of the group leader.

The group leader’s authority is final when it comes to avoiding danger to participants' health or safety, or in judging a participant’s behavior or state of health.

Thailand Cycle Tours will not be held responsible for damage or injury that is the customer’s own fault, is caused by a third party unrelated to the contract, or results from events classified as force majeure, which are beyond the control of Thailand Cycle Tours.

• To send marketing communications such as newsletters, promotional offers, and updates if you subscribe to our mailing list. You may opt out of receiving these communications at any time by using the unsubscribe link in the email or by contacting us directly.

3. Booking a Tour

When you book a tour with us, we collect the necessary personal information to process your booking, including:

• Personal Details: Name, contact information, passport details (if required), and preferences.
• Payment Information: Payment method and details to secure your booking.
• Tour Details: The specific tour you’ve chosen, accommodation preferences, dietary restrictions, and other relevant tour-related information.

We will use this information to confirm your booking, arrange accommodations, transportation, and other logistics. Your payment information will be securely processed via our payment gateway, and any sensitive data is handled in compliance with data protection regulations. If you need to modify or cancel your booking, please contact us directly at info@thailandcycletours.com. Cancellations may be subject to our cancellation policy, outlined in our Terms and Conditions.

4. Google Analytics

We use Google Analytics to collect information about how visitors use our website. This helps us understand website traffic, user behavior, and performance trends to improve user experience. The data collected includes:

• Time spent on each page

• Geographical location (non-specific)

Google Analytics collects information anonymously and reports website trends without identifying individual visitors. You can control the collection of data via Google Analytics by using a browser add-on provided by Google (Google Analytics Opt-Out Add-On).

5. Google Maps

We integrate Google Maps into our website to display locations relevant to our cycling tours, including our office and suggested nearby accommodations.
