Booking Conditions

Each reservation must be sent to Thailand Cycle Tours by email or postal. The reservation is confirmed upon receipt of your email or letter including you deposit of 25 % of the total price.

Deposit and Payments

The 25% deposit of the total price must be paid within a period of 10 days from the reservation date.

6 weeks prior to the tour departure, the full cost of the tour must have been transferred to the account of Thailand Cycle Tours, including the cost of bike rental and individual costs.

For bookings made within less than 6 weeks from the date of departure of the tour period, the full amount of the tour price must be transferred no later than five days after the mailing date of your booking request. No person is authorized to participate in the Tour if they did not pay the entire cost of the tour in advance.

Transferring a travel date to an other date

Once a tour has been booked, the customer has the right to request to change the date of the tour a later date. The transfer request must be sent by postal mail or email to Thailand Cycle Tours. Thailand Cycle Tours reserves the right to decide if the requested change of the date is acceptable. If changes are possible and if Thailand Cycle Tours is willing to make the changes, there will be an additional fee incurred per participant.

For changes between 59-30 days prior to departure there will be a change fee of 100euros per person

For changes less than 29 days prior departure there will be changes fee of 250 euros per person.

Minimum number of persons required

A minimum of four people must be confirmed per tour and 4 for a private for a tour organized by Thailand Cycle Tours to take place. In cases where less than 4 and 4 in a private people participate in the Tour, Thailand Cycle Tours reserves the right to cancel the tour within 15 days before departure. Maximum 17 persons.

From five people on a Tour we join always a Teamleader who speaks english, french, german and luxemburgish. When only two people book, the tour will be guide by a english speaking tour guide.

Legal age to participants

The minimum legal age to participate in long Tour is 18, except the Tour Bangkok - Koh Samui the minimum is 14 years, but have to be accompaged by an adult.

For the one day tours the minimum is 14 years and they have to be accompagned by an adult.

Minors will not be allowed to participate on the tour.

Cancellation Policy

In case of cancellation of the tour for a reason that is our responsibility, the deposit, respectively, the total price of the tour, which has already been transferred, will be fully refunded to each participant. Alternatively you will have the option of choosing a later date to participate in the chosen tour.

In case of cancellation by a customer who has booked a tour, the cancellation for Thailand Cycle Tours fee will be calculated as follows :

The cancellation of the tour fees are calculated based on the number of days preceding the trip:

- More than 90 days prior to trip: Administrative expenses

- Between 60 and 89 days prior to trip: deposit payment

- Between 30 and 59 days prior to trip: 40% of total tour price

- Between 15 and 29 days prior to trip: 70% of total tour price

- Between 0 and 14 days prior to trip: 95% of total tour price

Administrative expenses include bank charges and losses caused by the exchange rate.

No refunds will be granted in case of abandonment of the tour or early return.

Individual supplements are part of the total price of the tour and may be subject to cancellation fees.

Thailand Cycle Tours can not be held responsible for any expenses resulting from cancellation of a tour, such as airline tickets. Thailand Cycle Tours can not be held responsible for the costs/incidental expenses or costs/indirect costs resulting from a change or a cancellation, which would be borne by customer. No compensation will be applied.

Complaints

If a customer has a complaint about the tour, that person must inform the group leader as soon as possible in order to give him an opportunity to rectify the problem (s) in a reasonable manner.

The customer has 30 days after his return, to send his complaint either by email or by post. All complaints received beyond this deadline will not be admissible.

Documents to be submitted

Each customer is obliged to prove that he is in possession of a valid passport and all visas. All medical certificates required, must be presented. Thailand Cycle Tours can not be held responsible, because each client accepts full responsibility for obtaining all required documents.

Travel Insurance

Thailand Cycle Tours requires that all clients have an additional health insurance before joining the tour. Thailand Cycle Tours can not be held liable for medical expenses or expenses for evacuation or repatriation in case of accident.

This supplementary health insurance must also cover all personal accidents, medical expenses, injury, death or repatriation.

(Optional)insurance to cover repayment if the trip is canceled by the customer or unexpected return trip.

In case of non- subscription supplementary health insurance, Thailand Cycle Tours will be obliged to refuse to allow the client to participation in the Tour. Each customer is free to choose the insurance to which they wish to subscribe, taking care however to ensure that the risks will be covered during the whole period of the Tour. Team Leader group will require a copy of your insurance before you allow them to participate in the round. This procedure is used to protect you and Thailand Cycle Tours.

Additional charges

Thailand Cycle Tours guarantee not to increase prices from the tours, except in exceptional circumstances. Under exceptional circumstances, Thailand Cycle Tours, means: government or legislative action that would force Thailand Cycle Tours to increase prices, exceptional changes or non- favorable exchange rate that would exceed a 15% fluctuation or devaluation currency.

Customers will be notified of any tariff change at least 4 weeks before departure.

Reservations, restrictions and limited liability

To ensure maximum quality of the tour, comfort or welfare of clients, Thailand Cycle Tours may deem it necessary to reroute or make changes to originally scheduled accommodations. In the case of a modification to the route or accommodations there will be no discounts or reimbursements given to customers. Customers agree to allow Thailand Cycle Tours to take pictures or videos of these tours for promotional and commercial purposes.

Thailand Cycle Tours will provide a competent authority during the course of the Tour.

Customers will be accompanied by a group leader who is the representative of the Thailand Cycle Tours Company. By signing you agree to the terms to respect the authority of the group leader.

The authority of the group leader will always be decisive when it comes to avoid endangering your health or protection, or to judge your behavior or ill health.

Thailand Cycle Tours will in no way be held responsible if the customer is himself responsible for damage or injury that he suffered, of shares of a foreign party and unrelated to the contract or the damage or injuries from events or force majeure which are not under the responsibility of Thailand Cycle Tours.
